Calendly is simple, easy-to-use and powerful scheduling software designed to save time, speed up sales and improve service quality. It removes the old ways of using email and phone tags to schedule appointments, calls, interviews, demos, and more. It allows Potential customers to log in instantly and make sure their employees do not lose them through phone tags and email. Users can configure their features and allow more guests to plan the same space, which is especially useful for webinars, guided tours, workshops, and courses. Invitees can also add appointments quickly and without registration. Premium subscribers to the scheduling software also receive quick email support during office hours. The scheduling software allows you to integrate the calendar into Google, Office 365 and Outlook and view all calendars to avoid double conflicts when booking. New calendars will automatically be added. A simple, easy to use and modern user interface ensures an uninterrupted process and makes the application enjoyable. With Calendly you can send reminders and personalized confirmation automatically to guests for maximum retention. Also, it is fully optimized for desktops, phones, and tablets. This ensures that guests do not have compatibility issues when running the software on their devices. The software helps prevent nighttime meetings, set up intervals between meetings, and set the type of secret event for increased privacy and control.

Calendly provides scheduling simplicity

Use Cases and Deployment Scope

We use it to schedule sales calls for our sales team and also for our onboarding team to schedule onboarding times. In addition, when we attend events we use it to schedule meetings with customers, prospects, and partners at the event. It simplifies the process of connecting with others and reduces the normal back and forth that occurs when trying to find an acceptable common meeting time.

Pros and Cons

  • Great at collaborating to find a common meeting time that works for everyone.
  • Good at distributing meeting responsibility to multiple internal team members.
Edit
  • While it supports systems like Zapier, direct integration with third-party apps is limited.
  • Styling of your calendar isn't really available, so when you embed it into your website you have limited options due to it being an iframe.

Likelihood to Recommend

We've found the best scenario for Calendly is when you want to include a link in your email signature or within the email body for people to schedule time with you. It greatly simplifies this process. However, if you are looking to integrate Calendly into your website or integrate it into multi-step processes it's not quite as easy or sufficient. For example, when creating a form for scheduling a demo that first requires collecting info on the prospect and then scheduling the meeting things become more difficult. Another issue - Calendly does not support creating hidden fields that can be passed information when the scheduling page is called. This makes it difficult to pass along information on how the individual arrived at the scheduling page. So it's great for individual and group use, but for website integration it needs some work.

Don't try to find the time! Use Calendly!

Use Cases and Deployment Scope

Our software is globally deployed and we have been ramping up more and more clients weekly. Juggling my calendar is tough, and my team and I do not have enough time or bandwidth to do the back and forth of "does this time work for you?" We have also found it very useful in setting up training with customers for our customer success team. Calendly has been such a success we deployed it in our sales and marketing departments as well!

Pros and Cons

  • Calendaring.
  • It is easy to set windows of unavailability.
Edit
  • Zoom integration can be glitchy at times.
  • New event type workflow could be better.

Likelihood to Recommend

Calendly is extremely well suited for our application of setting up training, sales calls, and other items of the like. I don't really have anything negative to say about Calendly. I found their customer success team helpful and friendly, and use their software daily! I would recommend this for any business professional.

Calendly easily beats all other calendar apps

Use Cases and Deployment Scope

We are currently using it to automate our scheduling, giving the prospective client control while also reducing our backend work for appointment setting.

Pros and Cons

  • Cleanliness
  • User-friendly
Edit
  • Chat support as in making it easier to reach Calendly support.

Likelihood to Recommend

It's on our website, in my emails, and I share via text. It's great because I give my meeting partners control of when we meet. But because I set the parameters of when I'm willing to meet, I'm ultimately in the driver seat.

Calendly spares us from hours of tedious schedule coordination! Absolutely critical tool.

Use Cases and Deployment Scope

Calendly is being used across our entire agency to vastly streamline the appointment scheduling process for team meetings as well as client consultations, sales, and support meetings. I have even started using it personally to schedule lunch or coffee with people who want to meet up locally. Instead of dozens of emails going back and forth to try and find a mutually available time slot, the available times on our end are automatically displayed to the invitee, allowing them to select whatever available slot works for them. It has turned dozens of interactions into a single interaction. A real lifesaver.

Pros and Cons

  • Shows all available meeting times to invitees in an easy to use interface.
  • Block out available times, lets you control "quiet zones" in your week when you can't be interrupted.
Edit
  • Needs the ability for invitee to import their calendar and auto-suggest meeting dates.
  • Could use more "round robin" voting on potential dates (like Doodle).

Likelihood to Recommend

If you are finding yourself constantly scheduling meetings (consultation, sales, support, counseling, etc) this is an absolutely essential tool. The primary call to action on our business website is to set up a consultation, which right now is the top of our sales funnel. This makes that interaction seamless. It is also excellent for current clients who need to get in touch and talk through issues. You are able to block out available meeting times so you can control your week's flow and are not constantly bombarded with a decision chain of what hours you allow meetings to be booked, and then what dates are best for everyone, you make those decisions proactively and give the client the free-reign choice of when they'd like to meet.

Calendly is Awesome!

Use Cases and Deployment Scope

Our entire sales department uses this to help manage meetings with new and existing customers.

Pros and Cons

  • Schedule meetings - I am able to share a link with anyone that wants to set up a time to meet with me and they are able to see my available time on the calendar. And then schedule a time to meet with me.
  • Manage my schedule - I am able to set certain hours that I've never available and certain times of day that I will allow meetings. This helps me to be able to balance and manage my schedule.
Edit
  • UX design - I've never felt that their interface was beautifully designed. I believe they could make it a little more flashy but still stick with a simple undertone.
  • Email reminders - I would love it if I could have email reminders sent to my customers that are going to meet with me with details about the call.

Likelihood to Recommend

I believe Calendly is an awesome tool for any person who deals with a lot of back-and-forth emails trying to schedule a time to meet. Their free version is more than enough for a small sales team. I believe Calendly has nailed this software.

Calendly Rocks!

Use Cases and Deployment Scope

The whole organization is using it because it's really helpful since we are working remotely and this gives us transparency to what is really going on with the organization. This helps all stay up to date with each other and not interfere in other's schedules.

Pros and Cons

  • Helps me to align my plans.
  • Be updated with the whole team.

Likelihood to Recommend

This is suited to any company that has people from different locations because this helps on how the superior can manage schedules. It is just perfect.

Calendly - Appointment Setting on Steroids

Use Cases and Deployment Scope

Calendly is used daily in all departments internally and externally with our B to B and B to C interactions. It helps us to easily and effortlessly schedule meetings, trainings, etc. between management and staff both individually and collectively. In the area of training, it is quite effective to use Calendly in a round-robin style to schedule with people during their availability. However, I find it most useful when I’m dealing with clients whether directly over the phone, text, or email or indirectly through social media, landing pages, and/or email. It solves the problem of managing the types and number of appointments so I can focus on spending time profitably. It goes without saying that it is the most convenient way of scheduling. It also is very efficient at sending reminders giving people an opportunity to reschedule if life happens or save you from time wasters that aren’t serious yet.

Pros and Cons

  • Allows for multiple appointment types to help us show our clients we have multiple services.
  • Can qualify the prospect (appoint maker) with questions to narrow down the meeting focus or qualify the prospect.
Edit
  • I think it would be great to have sub-appointment types. Often times it’s too confusing to put every single appointment type out there and having categories that get more specific that are dynamic and change according to what the appointment setter chooses. For example, if someone was scheduling a health insurance appointment instead of having appointments for Medicare, Group, individual, dental, critical illness, etc. They could select Healthcare, then see option of Medicare, Individual, or Group and so one from there.
  • I would also like it to have a feature that doesn’t show all your availability at one time and does random increments. We never want to look too available. It would be cool to show 3-4 times spread out for one person then show different times for another. Additionally, it doesn’t allow the person to have a choice when you have Zoom integrated. So often there can be confusion in knowing if they are logging in or expecting a call or calling us.

Likelihood to Recommend

It’s great for B to B and B to C meetings and works for c-level and training too, even in groups. It works with multiple calendars as well. I use both Mac Calendar and Gmail. It may be less appropriate for business that uses ranges instead of exact times. People always expect you to be there at the first moment the range starts.

A great product with great value

Use Cases and Deployment Scope

Calendly is used by our Recruiting team to schedule initial phone screens with applicants. It saves our team a lot of time. We give the candidates a better experience by allowing them to schedule their own appt at their convenience.

Pros and Cons

  • User-friendly
  • Simple
Edit
  • It is so simple that sometimes I wish it had more instructions.
  • Figure out a way to offer scheduling for multiple people at once.

Likelihood to Recommend

Better when it is limited to scheduling one person only vs. a panel of interviews.

Calendly: The best scheduling tool

Use Cases and Deployment Scope

Everyone in the company used Calendly. We tried a few scheduling tools but Calendly was hands down the best. It was the easiest and most effective. I feel like my number of meetings increased when I was using Calendly. I would recommend this tool to anyone. It is the software I will be using if I own a company in the future.

Pros and Cons

  • Easy to use
  • Easy to customize
Edit
  • Can be pricey
  • Can have difficulty adjusting the timezones.

Likelihood to Recommend

I have used Calendly in a handful of different ways. The most common use case for myself is through my emailing and prospecting tool. I reach out to a lot of people via email. Many people don't want to take the time to reply, so having a link in the email makes the scheduling process much easier. My number of meetings increased when I was utilizing Calendly.

Calendly is simple, effective, and worth it!

Use Cases and Deployment Scope

We use it to book appointments both externally, and internally, as we are a remote team. A key feature is the time-zone adjuster. I'm able to easily set up meetings with my colleagues on other continents without worrying too much about whether or not we will all have the time correctly on our calendars. It's also helpful that it automatically sends out Zoom meeting information so that people know how to join my meeting.

Pros and Cons

  • Easy to use.
  • Reliable.
Edit
  • Wish HTML5 worked on automated emails. Would like to add a video to ours.
  • I wish it integrated better with software.

Likelihood to Recommend

Calendly is perfect for setting up a meeting with people regardless of the timezone. It is less appropriate as an iPad screen for people to choose in-house appointments.
