Cvent is very user friendly, but is missing very important tools for both the creator of the website as well as the end user. There are functions from standard cvent that are missing.. making it difficult to create websites in the way they are needed. I like that it's easy to learn and build a site, easy for the user in most situations, and that the site is sleek and does look pretty good.
All standard functions should have been added before launching flex. I think flex is almost there.. but doesn't have the full functionality as it should. There have been some issues that we've run into that will likely not be issues in the future.. but almost seems like flex was launched just too soon. We've also had issues of people receiving emails. It's hard to ask people to speak with their IT group - a lot of emails end up in spam.
Cvent is easy to use, but the problems we have had have been quite big... the housing function is very confusing. It's odd that you can't change dates without deleting the entire request. It would be good if you had more flexibility of customization in pieces like this. We've had issues for days on end with a slow response. Almost like the system was having glitches. I had one person who no one could register for days...
I started using Cvent about 6 months again and it has been a wonderful experience. The onboarding was seamless. Our needs are different than their typical client, but our onboarding specialist really helped us to navigate how to best use the system for our specific requirements. Flex events are super intuitive and easy to create - its a simple drag and drop. I saved hours and hours of work compared to how we used to use events. In addition, the email features allow us to simply send to different groups of people with a click of the button, something that was less simple in our previous platform. I could go on and on about how much this platform has helped us!
Because it is tailored to trade show clients, there are a lot of features that we don't utilize. However, with all of the advancements coming down the pipeline, i am confident that we will be able to use these features in the future.
If you're considering it, set up a demo. They let us test for a month and gave basic training so that we could fully understand the platform before making the decision.
The biggest problem solved is relating to organization. It is so nice to have everything in once place.
Cvent is so user friendly - especially on the back end.
I wish there was an easier way to build individual schedules. I also wish there was a better way for event planners to update class location or timing information in a faster way. It takes way too long to log into my computer and make updates.
Cvent has been completely problem free for my events.
Cvent is very intuitive to use and once set up, the registration automation works great! I love the Flex registration build site where you can truly customize your event site. If I ever ran into issues, customer support was there to walk me through and test the site for me to ensure our attendees had a smooth process.
Some of our customers had issues when dealing with various browsers - mainly InternetExplorer. We also had some issues with emails opening up in some apps, but this was rare and there was always a workaround.
I highly recommend Cvent. THey are the best priced and offer incredible functionality. They are incredibly thorough in the onboarding and follow-up plus give amazing support along the way.
We wanted a professional, sleek registration site that was easy to maintain and would help streamline the communication process. We accomplished this wth Cvent Flex and was able to produce a successful event. One of the best things was that the registration site seamlessly integrated with the CrowdCompass mobile app - again easing our workload and enhancing our attendees' experience.
Customer service/responsiveness is top notch, clear & concise answers every time.
Flexibility to adapt registration options based on the nuances of each event.
Flex Registration has the potential to be a really great tool once advanced editing features are available.
User-friendliness: utilizing Cvent is just not intuitive and comes with a lot of random quirks one must learn to navigate. Flex Registration attempts—and has the potential—to better this, but it's just not there yet.
Flex Registration is currently too structured and restrictive in design. Hoping this will improve with continued feature releases.
Shop around. There are a lot of event management systems out there that are cheaper and more user-friendly that still contain most of the bells and whistles that Cvent has. Customer support is fantastic, though!
We have a number of departments within our company; most of these host events of various sizes for those we serve. Cvent is our registration management system for nearly all of these events with attendance numbers ranging from just a handful up to in the thousands. For simple events without a lot of different types of attendees or options, the registration portion could be achieved much cheaper through a simpler platform. However, Cvent reports are very customizable and the system is great for events for which you need a simple solution for collecting payment online. Cvent is also a good solution for large-scale or complicated events with a lot of nuances, provided there is someone very experienced driving the bus, as it is not an intuitive system to use.
Depending on what solutions you utilize, my favorite part is the integration with CrowdCompass (Cvent's mobile app). The vast majority of the features within Cvent Event Management are quite user friendly which is another perk.
Reporting can be a challenge, specifically there's a limit to the number of fields you can include on a report (100) which can be a real problem depending on the size of the program, number of activities available, follow-up questions, etc.
Our biggest problem is in regards to reporting but the integration with mobile apps is very beneficial.
The ability to filter, sort, and contact multiple properties at once. Each project easily saves us 10-20 hours of work. And if I have a specific need, an RFP not being responded to, a venue I would like to see included, etc... the support is usually quite prompt and fixes what is needed.
Adoption rate is still a challenge and response rates are still lower than ideal. There's also a bit of an issue with incomplete responses, but that's usually the end user, not the platform.
Using the tool allows my team to reach the ideal hotel venue, contact them, and get accurate pricing.
Reporting features, easy to use backend
No control over group membership; refunds
Work with Cvent to representatives to use the features available to suit your needs. They will support any level of customization of your system, but if you get too complicated with too many custom fields/features, you may end up slowing your own implementation.
Using Cvent we have increased our SH satisfaction with our registration process, improved our marketing channels and outreach, consolidated our RFP process, and managed conferences from start to finish for groups from 200 - 2000
I like having an electronic record of all of our events and attendees (and their attendance history); I use the reports for everything from billing to event email rates and more.
I am now using both Classic and Flex registrations and Flex takes a while to get used to, but I think in time I'll grow to like it more and more. Once all of the features our company uses are in place, I/we should be able to expand our registration functions and improve our registration sites.
I would say the benefits are that I can use reports to pull out any information currently in our system. The more information you include and retain regarding attendees and event details, the more you can retrieve later.
I have been using Cvent for about 4 years and I have seen how it has evolved to cater to all types of events. With the introduction of Flex it has made it so much easier for planners to create their own event web pages and collect important data. There are also additional products you can purchase that can be integrated with Cvent which is great.
I think with Flex it has taken a long time to roll out. Its understandable, but we were introduced to Flex 2 years ago at Connect and still waiting for promised features such as the custom URL
We host many events throughout the country and it has provided us a tool to track and collect attendees who register, we can pull reports and sales can access reports on registrations easily and we are able to check attendees in with OnArrival and it goes straight to our Marketo system and can be pushed over to sales right away instead of manually uploading lists.
