Lexio is a web-based management platform for independent vehicle rental companies and small-to-mid-size fleets. Pricing, customer, vehicle and documents all attach to that record. When plans change mid-rental — an extension, a vehicle swap, a change of options — an amendment is created against the original agreement rather than overwriting it, so the contractual history stays intact. Vehicle handover runs through structured check-in and check-out. Staff record mileage, fuel level and vehicle condition, and attach annotated photographs at each step. On return, Lexio compares the two states and prices excess mileage and fuel against the agreed rates, removing the manual arithmetic that causes disputes at the counter. Customers sign the agreement on the spot or remotely, through a time-limited signing link sent by email. Around that core: a vehicle register with an availability calendar, customer files with OCR-scanned identity documents, maintenance planning, damage claims, traffic fine handling with driver designation, deposits, and real-time GPS tracking with geofencing and trip reports. Pricing is built from seasonal rates, duration brackets, lead-time tiers, mileage packages, options and discounts, with VAT applied consistently across quotes, contracts and invoices. Invoices synchronise with Pennylane, payments and deposits run through Stripe, and the booking calendar is published as an ICS feed to Google, Apple and Outlook calendars. On the Business plan, a public booking site takes reservations directly. Each team member is assigned a role that governs what they can see and change, with two-factor authentication and a full audit trail. Every business's data is isolated from every other business on the platform.
