Review Summary

Filestage is praised for its user-friendly interface and its ability to streamline client feedback and approval processes, reducing the need for messy email chains and time-consuming back-and-forths. Users appreciate the real-time collaboration features, including commenting directly on files, version control for tracking changes, and the ease with which they can share projects with clients. However, some users report occasional loading issues and bugs, while others suggest improvements like better integration with project management systems and a more robust search function.

Pros

  • FileStage makes reviewing files easy with its intuitive and clear interface, enabling seamless collaboration amongst teams.
  • The platform offers a centralized location for project discussions and feedback, saving time and eliminating unnecessary communication.
  • FileStage boasts a robust feature set for design and video review, including annotation tools and version control, streamlining the feedback process.

Cons

  • FileStage's pricing structure may be challenging for smaller businesses or freelancers, especially those requiring additional storage or users.
  • While FileStage is constantly improving, it may still have occasional bugs or performance issues, which can impact the workflow.
  • Despite its intuitive design, some users have found the new dashboard layout confusing, requiring a learning curve for adjustment.

Cleaner approvals across IT, security, and business teams
What do you like best about Filestage?Reviewer Groups have helped us separate each approval stage without losing the thread back to the same file. Reviewers can leave comments, approve a version, or request changes, and I can quickly see who has responded and who is still holding up the review. From a PM perspective, that distinction really matters, because an informal comment shouldn’t accidentally be treated as a formal approval. Once a document has gone through several rounds, the features I rely on most are Compare Versions, Auto-compare Text, and version history. Being able to review versions side by side, use an overlay, and automatically highlight added and removed text makes a big difference. On longer technical documents, it saves a lot of time because security or legal can focus on the sections that actually changed instead of rereading twenty pages. Automations also keep the process moving by kicking off the next review, updating status, setting due dates, or moving content forward after a decision. The biggest benefit for me is having to chase fewer people manually. I can step in when something is blocked or unclear, rather than becoming the reminder system for every approval. What do you dislike about Filestage? The workflow can still get messy when each project creates its own variation. We ended up with several reviewer groups that were almost identical for security, compliance, and business approval, and that made ongoing maintenance harder than it needed to be. Templates and automations do help, but I’d like stronger tools to spot, compare, and consolidate processes that are essentially duplicates. What problems is Filestage solving and how is that benefiting you?A platform update needed Architecture, Security, and Business approval before going to production, but the release documentation was still being passed around as PDFs over email. Security raised questions about an authentication change that Business hadn’t even seen yet, and in one meeting we realized two different people were approving two different versions of the same document. We moved the review process into Filestage and set up separate Reviewer Groups for Architecture, Security, and Business. With everything tied to a single proof, each revision stayed in one place instead of branching into multiple email attachments. Auto-compare Text also helped each team focus only on what had changed from one version to the next. We added an automation so the next stage couldn’t start until all required reviewers had submitted a decision. At first our setup was too strict, because we made a technical SME a mandatory approver even though their role was advisory. That meant the document kept getting blocked for no real reason. We adjusted permissions so they could still comment and provide input without holding up the approval decision. After that, we started exporting the Review Report alongside the release documentation, which gave us a clear record of who approved what and when. Filestage didn’t replace Jira for execution, but it did eliminate the version confusion, reduce clarification meetings, and give each release a much cleaner approval history.

We’re big fans! Filestage Review: We are fans!
What do you like best about Filestage?Filestage has significantly streamlined our review and approval processes with international clients. As a lead agency, we work daily with numerous clients from various industries, different points of contact, file formats, and languages. Especially in this complex environment, Filestage ensures centralized and transparent coordination. What do you dislike about Filestage? Recommendations to others considering Filestage? It’s particularly helpful that everyone involved can leave their feedback directly on the respective asset. Comments, discussions, approvals, and version statuses are all consolidated in one place and easy for everyone to track. This reduces misunderstandings and makes coordination significantly more efficient. What problems is Filestage solving and how is that benefiting you? There is nothing that we dislike about Filestage.

Auch für freigaben im Online-Marketing ein Must-Have
What do you like best about Filestage?Filestage makes my everyday life in online marketing easier and ensures that approval processes run quickly, clearly, and smoothly. I use Filestage for a variety of approvals, whether for websites, newsletters, or press releases. What do you dislike about Filestage?Recommendations to others considering Filestage?I'm particularly impressed with the live view for websites - that was the sticking point for our website relaunch. All changes could be marked exactly where they were needed and I could assign specific roles to stakeholders - a great advantage for clear communication. What problems is Filestage solving and how is that benefiting you?

This is a game changer!
What do you like best about Filestage?Community planners engage large groups in thinking about the future. When we move these plans to paper for review, we need a tool that is easy to use for diverse groups of people that come from all walks of life. Filestage was exactly this. Our steering committees, planning commissions, and elected officials just need an internet connection and the link we provide. They love using it and when we asked why, they said it is quick, easy, and sometimes, even fun. What do you dislike about Filestage?I have not found anything that I dislike about Filestage. What problems is Filestage solving and how is that benefiting you?We work with large groups of reviewers that have different technology competencies. Filestage allows everyone to participate regardless of technical know-how.

It freed us from endless e-mail chains and hand-stored pdf reviews and so on one-stop-tool for all file approval communication
What do you like best about Filestage? The upside of Filestage is the possibility to linearize all communication concerning file approval. No more cluttered mails, documents or even phone calls to trade information. What do you dislike about Filestage? In the business field where we use it most, onboarding for reviewers is sometimes more difficult than expected. Due to its functions, it requires a certain level of intuitive software usage skills or rather willingness to adapt.

"Reviews have never been easier"
What do you like best about Filestage?

All comments are complied together in one place where they are easily trackable. No more messy email chains searching for who said what and when. The review process is much more streamlined and review teams can work together before requesting changes.

What do you dislike about Filestage?

It is a little hard to review websites that are in the staging process. The formatting doesn't transfer over correctly sometimes so it doesn't give you an accurate display of the website. Makes it hard for detailed reviews and tweaks to be conveyed.

What problems is Filestage solving and how is that benefiting you?

Disorganized review process. We can streamline reviews and have all of our projects organized into one place. Easy to switch back and forth from item to item and compare past versions.
