We have been able to customize almost every part of the process so that it fits our current needs. It is the process that has worked so well for us... but now on a digital platform that parents appreciate. It has been user-friendly and aesthetically works! We've also been able to tailor our communication with parents and prospective students to really answer their questions and get them excited about specific aspects of our school!
The biggest thing has been using the activity and reminders sections that keep us organized and communication flowing between team members. Every prospective family feels special because we are always in touch with each one and each team member knows the specifics of every situation.
It seems that SA is still working on a bunch of features that I have asked for since it would help our process. I get a response from customer support that says these features would be helpful but are just not available.
It is going to be exactly what you put into it. If you take the time to customize it to your needs,.. it is powerful in what it can do.
Since the process is digital, it eases the process from families that are international or moving to the area. It also helps us with communication, bot on our team and with prospective families.
We are new to SchoolAdmin and made the decision at the very last minute to use the system for tuition, and the support is incredible.
There is much more required of me in this system than the last one I used, but I like learning it.
We are using it to bring inquiry, application, enrollment, tuition management, donations, and incidental charges together under one system.
Personalizing the inquiry, admissions, and enrolment experience during the pandemic allowed us to draw people into the 'feel' of our school without being on campus. Videos, photos, and personalized automated follow up have been excellent. The use of calendars to allow families to book events and appointments has proved to be a time (life) saver for us. School Admin support staff are quick to respond and provide excellent support and guidance in a very timely manner. It has added fun, gravitas, and organization to our work.
One downside is that you can only complete an inquiry for one family member at a time.
We can now collect data across a much more comprehensive range of fields, generate searches and reports, and export admissions and enrolment data with ease.
The checklist feature has allowed us to build the admissions and enrolment experience that we were aiming for and provide helpful tips for parents along the way about what to do next.
Our work is more organized and intentional because School Admin allows you to conduct many operations through its platform. In particular, having the capacity to schedule events, share mass email communication (personalized too), forms, questionnaires, create reusable email templates, run re-enrolment all through the one system has cleared up a lot of our work. School Admin has also allowed our team to focus on each person's role in the group and become more efficient by using templates and functions that do a lot of work on your behalf.
I am a huge fan of SchoolAdmin. Having used a number of databases, I choose SchoolAdmin because of its simplicity, ease of use, and specificity as an enrolment management tool.
Sometimes, I would like to have more customization---but that could be because we are building a new school that is quite different!
I like SA because it is singularly focused on enrollment rather than SIS...and it has wonderful relationships with merging with SIS platforms.
Enrollment management, tracking data, seeing trends, building board reports.
It is so easy to use! The search function is fast, it has everything I need to track an applicant through the admissions funnel, schedule appointments, and communicate with families. I have a small team and a large number of applicants, so I value efficiency. SchoolAdmin has streamlined our processes and given me time back!! We went from paper files to completely paperless last year, but test score reports and interview notes were still on paper. SchoolAdmin has an amazing bulk upload feature that can take one large scanned PDF and intuitively match it to all the correct applicants. Amazing time saver! I love the ability to customize an email and share a list of missing forms with an applicant family. We had completed files so much earlier in the cycle because of the ability to automate so many tasks. Search and report is a flexible tool to build any report you may need. There are too many great features to list them all here.
Parents have found the system to be very easy and user-friendly for applications and enrollment. SchoolAdmin created a system to share common teacher recommendation forms with peer schools that also operate on the SchoolAdmin platform. This has made it easier for both our applicants and our feeder schools.
SchoolAdmin has a unique system of tracking prospects, inquiries, and applicants in separate sections of the database. It's not easy to move individuals between these sections. Tracking inquiries is less critical to me as capturing their email address for future communications. I had to find new systems to work around that, but the benefits far outweigh this inconvenience.
I am solving so many "problems" with SchoolAdmin: Tracking applicants through the funnel, paperless application files, online file reading, online enrollment and seamless integration with FACTS for tuition payment plans, customized online forms for forecasting, emergency info, permissions, etc. We have moved so many paper systems into SchoolAdmin that other departments will call Admissions and ask if SchoolAdmin can solve their problem too!
I love that School Admin has everything in one place: calendars, scheduling, application, re-registration, etc. You have made my life so much easier! You have created a product for actual Admissions/Enrollment Directors at private schools. You get it! I love the customer support. Those guys are patient with questions and quickly solve problems.
I wish that I had known more when I was going through the implementation stage so that I could have asked better questions and received more training. I was new in this job and still learning the ropes, so that is more on me than School Admin. I feel like School Admin does so much more than I am accessing and I would love to learn more. I know there are tutorials but I don't always have success finding what I need in those. I also need to start the re-enrollment process sooner because the customer support team seems quite busy at that time of the year. Last minute fixes can't always get resolved quickly. My re-enrollment email went out a day late since we didn't have everything taken care of.
I would like to be notified when a contact changes their information. Since we use Power School, keeping both systems up-to-date is a bit of a challenge.
From the front end I like that the parents find the application process self-explanatory and do not have very many questions. From the back end I like that I can get help from a School Admin staffer and they answer quickly and thoroughly.
I love using "Search and Reports." It is so very helpful to be able to design my own lists.
I love that I can see who is in the process of applying at "Draft Applications."
I do find the How To videos to be tedious and hard to read. They confuse me more than inform me.
I hate that I lose my own access to "Search and Reports" when new students are moved to Enrollment. I need the "Search and Reports" so as to add the new students who just applied or were admitted. Yes, I know I can do "Search and Reports" in Enrollment but then I have to start from the beginning.
I feel that we have more control over the Admissions process because of School Admin. I feel that the parents view it as a professional process.
I love the "Contact Support" option. The team is prompt, knowledgeable, and helpful.
The calendar feature has completely changed the way we create events. It allows us to capture information for all attendees and easily follow up with them after the event. This feature also allows us to make data driven decisions for future events.
SchoolAdmin seeks to improve and any adjustments I've requested have been made. I currently have no complaints.
If a school is looking to do more than just "register" students, SchoolAdmin provides all the necessary tools to engage families.
Through SchoolAdmin we can individualize the application experience and create relationships with families. The system has streamlined our process and freed up our team's time to work on new initiatives.
SchoolAdmin is easy to use and customer service is super responsive.
I wish that there were more tools for virtual admissions meetings available.
Not only is SchoolAdmin easy to use and set-up but data transfer to other products like MSA have been very easy as well.
I am really glad we went to schooladmin a few years ago. Now our families can apply and sign-up for tours and we did not have to pivot because it was already in place.

For many of us in the Private Catholic High School realm, the position of the Admissions Director or Enrollment Director is still relatively new. School Admin has allowed all of our schools in the Archdiocese of Philadelphia to bring their admissions process into the digital world and interact with families in ways that we could never do in the past. With the ability to automate so much, it frees up time for Admissions Staff to personalize their family experience at even more extraordinary lengths.
There is not much that I dislike, but I wish that some aspects were set up in different ways to make it easier for the user to navigate. My most prominent example would be how the Scheduling tools are structured in School Admin. If everything from setting up all before and post-event communications surrounding an event to marking families as attendees of an event could all be done from within the Scheduling module, that would make the event collection process so much easier.
Finding incremental time savers are the number one problem solvers that I work with schools on from within School Admin. My favorite experience working with an admissions team in one of our schools was seeing their eyes light up when they found out that checklist items for application collection could be bulk imported instead of individually uploaded and added to students' records.
