Dot Compliance Quality Management System (QMS) Reviews

It is a system that has complete quality management and electronic batch records , as well as forms. It only took two weeks to implement the system, including all electronic forms and batch records. All employees are able to complete their training electronically, and exams for documents are linked and automatically graded so the employee knows their score. The system is used daily by all teams (logistics, packaging, labelling, processing, quality, etc.) and the users find that since they can customize their dashboard, it makes it really easy to see exactly what their focus is.

The Dot Compliance IT team always responds the same day a ticket is issued and most complications can be resolved right away. They are extremely knowledgeable and help you better understand the functionality of the system.

There is so much included in this system that I could write about but the best is the user experience!

The help section was what I disliked most but they are now integrating AI into the help section which has improved dreastically over the last couple of months.

Dot Compliance allows the user to link items in the system to other items (such as quality events to deviations, or CAPA's, or assessment, etc.). In addition, if I needed to find information on a specific lot of product I am able to type that lot number in the search and the system will show me everything containing that lot number, broken into each category (such as all deviations, complaints, samples, batches, etc.).

In addition, there is a reporting portal in which a user can create a report on any data that is in the system. This feature is invaluable for KPI reporting.

Lastly, Dot Compliance meets all international standards for an electronic system which makes regulatory compliance easy. They provide all the validation documents for every section of the system.

It is great to be able to use a system that has a complete quality management system and electronic batch record records, as well as forms. The system has an excellent chatter function that allows quick communication with individuals throughout the company. Another great feature this system has is the ability to link items, such as samples with batch records, batch records to change controls, or change controls to deviations, to name a few. Lastly, Dot Compliance has a very responsive and knowledgeable IT team and customer service team.

There are very few issues with the system, and since I started using Dot Compliance, they have updated the system to correct any functions that I did not like or suggested a way to work better. Currently, the only process that the system is lacking is reports regarding master documents.

Dot Compliance QMS is excellent at tracking training, and creating detailed reports regarding open or closed training has been highly beneficial. In addition, due to the electronic forms and batch records, there is no worry about missing or illegible documents.

I really like the Search history section. I also like Pinning the recently searched documents. I also like the communication of DOT compliance with other software tools we use in the organization.

A few things I do not like with DOT are as It is very detrimental when compared to other eQMS I used. The other thing I do not like is it needs to streamline the numbering system.

It communicated with multiple other eQMS and software. So, this will solve our communication problem as it can pool data. When it talks between software it is a great feature

The ease of use and linking between modules is great / i use the document module as an electronic validation database and also utilise it to complete validation documentation electronically which is a great benefit to the business

The loss of unique numbering systems in the document module / the system allows you to retain a legacy number but after a few revisions, this can be overwritten by the standard DOT Compliance numbers

As discussed above the linking between the modules is fantastic / also the dashboard showing your workload helps greatly in managing workloads across the business

The system can be tailored to all needs just need to ensure what you require of the system has been fully evaluated prior to validation and implementation to ensure all user groups are covered at the time off system introduction

I like DOT compliance's easy to use interface and simple but efficient design. I am also a big fan of the way DOT is organized, this make it helpful trying to identify something on the page quickly.

Sometimes i find the search function not as good as it good be, for example certain keywords are not picked up when searching and it can take a little bit of searching to ensure the right result is found.

It is solving the issue of paperless document organization and makes it really easy to edit and print new copies of essential documents, it also makes it simple and quick to share documents to a large number of people quickly.

Customer satisfaction driven team.

QA documentations are good enough to make easy to understand quality part.

Masterbatch records should be only available to QA.

Configurations issues.

Making more reliable and bug free.

Dot Compliance is a simple and easy to use system. Access, storage and organisation of documents is straightforward .

The system is very complrehensive, so it can take some time to find relevant information.

I've mostly been using Dot copmliance for storage of controlled documents to allow tracebility of processes.

Easy access to documents with the ability to link them, track changes and people putting their e-signatures on documents. I was also impressed with the ability to add automatic headers and footers to uploaded documents.

More options for searching documents are required. Maybe add options to search by date loaded or changed. Time out, where the system disconnects seems to be a bit short. Also, document loading times feel a bit long.

Document control is working well. Documents are linked to change controls and other documents. In addition, there is a tracking of who and when approved or reviewed the documents.

Dot Compliance QMS advantages/best characteristics:

- It is very easy to work with.

- The documents management module is very good one and allows to implement a efficient flow of review and approval of documents;

- It has a module dedicated to the training where everything is automatic. You can easily set a traing plan for some employee and he/she will receive it automatically via DOT and complete all the trainings in the software;

- It has a very good and efficient support team in case of any doubt;

- It has available a lot of manuals and videos about DOT for the users.

Dot Compliance QMS:

- The version that i am working with (4.5) doesn't allow to, for example, to link more than 1 Change Control when you review a document.

- Althoug the module of "Change Control" is a good module it can be improved. It allows to change some information without a mandatory justification and signature - For example: The system allows to extend the due date of the change control (in case you are a QA user) without give a justification or without an eletronically signature for this change. (in version 4.5.)

Note: Currently DOT Compliance is in the version 5 and so some of this bugs can be already fixed. As i didn't do the updgrade yet, I didn't confirm that.

DOT Compliance QMS already solved some bugs related to, for example:

- the training center;

- some approval steps that in the past were not mandatory and now are, which allows to have a more controlled process.

Having all your relevant and vital documents and files in one place, you are very aware as to when they are going live, what needs to be read and acknowledged, by who and what department before documents go live

It is crazy confusing when you first start, I don't think you can fully understand all its full features and tools until you take some time to do so. There are a lot of various functions, tools, tabs that definately require some small bit of training

It's allowing for everyone to access training modules, SOP's, essential files all in one place and highlights the latest versions or any amendments made and by who and when
